The Best Enterprise AI Knowledge Platforms in 2026: Glean, Guru, Copilot and 9 More, Compared

There is no single best enterprise AI knowledge platform. This guide compares twelve platforms, including Glean, Guru, and Copilot, by what each is built for, with verified facts and limitations.

The Best Enterprise AI Knowledge Platforms in 2026: Glean, Guru, Copilot and 9 More, Compared

TLDR

There is no single best enterprise AI knowledge base platform, because the twelve platforms buyers usually shortlist are not solving the same problem. Some index your company’s documents so employees can find them. Some certify a content library. Some sit inside Microsoft 365. Some govern who is permitted to receive which answer, and what happens next. This guide sorts twelve platforms by what each one is actually built for, with verified facts, published pricing where it exists, and the gaps each vendor does not advertise.

Disclosure: I run go-to-market and client experience at AnswerMyQ, which appears in this guide. AnswerMyQ is not ranked first, and this list is not ordered by preference. Every competitor claim below is sourced to that vendor’s own published material or to an independent third party, with links. If we got something wrong about your platform, tell us and we will correct it.

What is an enterprise AI knowledge base platform?

An enterprise AI knowledge base platform is software that connects an organization’s approved content and systems to an AI layer, so people can ask a question in everyday language and receive a direct, sourced answer instead of a list of documents.

That definition covers a wide range of products. In practice the category splits into five groups that behave very differently in a deal:

  1. Enterprise AI search platforms index across many systems and return synthesized answers. Glean, Coveo, Sinequa, Lucidworks.
  2. AI knowledge management platforms curate and certify a single library, then answer from it. Guru, Bloomfire.
  3. Embedded assistants and workflow AI live inside an existing productivity or service stack. Microsoft 365 Copilot, Moveworks.
  4. Governed AI knowledge platforms enforce policy and role before an answer is generated, then drive a next step. Squirro, AnswerMyQ.
  5. Build-it-yourself infrastructure gives engineering teams the retrieval and data plumbing to construct their own. K2view, LlamaCloud.

Most shortlists mix all five groups and then compare them on a single feature grid. That is where evaluations go wrong.

Gartner tracks this space in its Market Guide for Enterprise AI Search, published September 15, 2025, and frames the shift plainly: generative AI is moving enterprise search from information retrieval to information synthesis. Synthesis is exactly where governance questions start to matter, because a synthesized answer is a new artifact that nobody reviewed before it reached the person who asked.

Looking for a Glean, Guru, Bloomfire or Copilot alternative?

If you are here because a specific platform is not working out, start with the entry for the one you are leaving, then read the group it sits in. Most switches fail because the replacement solves the same problem the incumbent already solved.

Glean, Coveo, Sinequa and Lucidworks are search-first. If search is not the thing that broke, another search platform will not fix it. Guru and Bloomfire curate a library. Microsoft 365 Copilot and Moveworks live inside a stack you already bought. Squirro and AnswerMyQ enforce policy before an answer exists.

The most common reason teams leave a platform in this category is not accuracy. It is that they needed to serve customers, dealers, franchisees or field technicians, and the platform was licensed per employee and built for the inside of the building. If that is your situation, skip to the governed group.

Head-to-head comparisons: AnswerMyQ vs Glean, vs Guru, vs Bloomfire, vs Microsoft Copilot, vs Moveworks.

How did we evaluate these platforms?

Four rules, applied to every entry:

  • Vendor claims are labeled as vendor claims. Certifications, funding, pricing, and analyst recognition are linked to a primary source. Anything we could not verify from a primary source is left out rather than repeated.
  • Limitations come from evidence, not opinion. Weaknesses cited below come from public review sites, the vendor’s own documentation, published financials, or analyst notes. We name the source.
  • No composite scores. A single number would hide the fact that these platforms serve different jobs. Each entry gets a “best for” and a “not for.”
  • Alphabetical inside each group. There is no rank order in this guide, and no platform paid for placement.

A note on analyst recognition, because it gets flattened in most roundups. A Gartner Magic Quadrant Leader placement, an Emerging Market Quadrant mention, a Market Guide Representative Vendor listing, and a trade-publication award are four different things with four different bars. We say which one applies.

Five questions to ask any vendor on your shortlist

Every platform below will tell you it is secure, permission-aware, and enterprise-ready. Those words have been stretched to the point of uselessness. These five questions separate the architectures fast, and they work regardless of which vendor you are sitting across from:

  1. Is policy enforced before the answer is generated?
  2. Does the answer change based on who is asking?
  3. Can every answer be traced to an approved source?
  4. Does the interaction end with an action, or just an answer?
  5. Does it govern everyone who touches your business, or only employees?

These five are what we call the Governed AI Test, and yes, that is our framework, so apply it to us too. Ask them in a live demo, not in an RFP response. Ask the vendor to switch roles mid-session and show you the same question producing a different, correct answer. Ask them to show you a governed decline, where the platform refuses to answer because no approved source exists. Most demos never show either.

One term worth defining before we go further, because it now points in several directions at once:

Governed AI is artificial intelligence in which rules, roles, and compliance constraints are enforced before any response is generated, not filtered after the fact. It delivers answers grounded in approved sources, adapted to the asker’s role, and connected to compliant actions that drive business outcomes, with every interaction logged for audit.

Read the full definition at What is Governed AI?

To be clear about scope, since “AI governance” is also the name of a separate software market: AnswerMyQ governs knowledge access, response, and action, not model risk and compliance workflows. Tools like IBM watsonx.governance and OneTrust govern models and compliance programs. That is a different category with a different buyer, and it is not what this guide covers.

Which enterprise AI search platforms should be on your shortlist?

These platforms index across many source systems and return synthesized answers. They are the right answer when the problem is “our knowledge is scattered across twenty tools and nobody can find anything.”

Glean

Glean connects to enterprise systems, builds a permission-aware index and knowledge graph, and serves search, grounded answers, and increasingly AI agents on top of it. Its homepage positions it as “Work AI that understands your company.”

Best forLarge internal teams whose knowledge is spread across a big SaaS stack and who want one place to search it.
Governance and securityGlean mirrors permissions from source systems so users retrieve only what they already have rights to. It documents pre-execution controls, including Restricted Topics policies that block disallowed conversations in real time and alignment models that pre-scan write actions before they run. Certifications listed on its own legal page: SOC 2 Type II, ISO/IEC 27001, ISO/IEC 42001, HIPAA, GDPR. It is one of very few vendors in this guide carrying ISO 42001, the AI management systems standard.
PricingNot published. Sales-quoted. TechCrunch reports a consumption-based model, which matters when you are forecasting a second-year bill.
Traction$150M Series F at a $7.2B valuation in June 2025. TechCrunch reported top-line revenue crossing $300M in May 2026, on annualized run-rate under consumption pricing rather than conventional subscription ARR. Named a “Market Shaper” in Gartner’s 2026 Emerging Market Quadrant for No-Code Agent Builders. Note that Glean’s Gartner recognitions are Emerging Market Quadrant and Innovation Guide placements, which is a different research format from a Magic Quadrant.
LimitationsG2 reviewers (4.7 from 168 reviews, checked August 7, 2026) cite inconsistent results for identical prompts, occasional hallucinations, limited ranking customization, and cost pressure for smaller organizations. One reviewer wrote that as general models improved, “we no longer saw the value.” Glean is also internal-employee only. There is no customer or partner-facing deployment mode.
Not forOrganizations that need to serve customers, dealers, franchisees, or field contractors from the same platform.

How AnswerMyQ compares to Glean

Coveo

Coveo runs unified indexing, semantic and hybrid search, generative answering, and personalized recommendations across four surfaces: commerce, customer service, website, and workplace. Commerce is the center of gravity, accounting for roughly 60 percent of new business bookings in fiscal 2026.

Best forCustomer-facing commerce and support search, where relevance is measured in conversion and deflection.
Governance and securityThe broadest verified compliance portfolio in this group: ISO/IEC 27001:2022, 27701, 27017, 27018, SOC 2 Type II audited annually, HIPAA with biennial audits, and CSA STAR. Permissions work through document-level security trimming via native connectors. Coveo’s public documentation does not specify whether trimming happens before or after generation, so ask.
PricingNot published. Consumption-based, and G2 reviewers specifically flag cost predictability as a problem at scale.
TractionNamed a Leader in the 2026 Gartner Magic Quadrant for Search and Product Discovery. That is the only true Magic Quadrant Leader placement among the platforms in this guide, and it is a meaningfully higher bar than the recognitions most vendors here cite. Coveo is also publicly traded on the TSX, so its financials are audited rather than self-reported: fiscal 2026 revenue of $148.3M, up 11 percent, with a net loss of $28.9M.
LimitationsG2 rating of 4.3 from 142 reviews, the lowest in this group. Reviewers cite a steep learning curve, implementation that requires dedicated developer time, unpredictable costs, and indexing delays on new items. In Q1 fiscal 2027, net expansion rate was 99 percent, meaning the installed base contracted slightly, and AI-related annual contract value was still only 13 percent of total SaaS ACV. The AI transition is real but early.
Not forTeams that want a governed internal answer layer without a search engineering investment.

Sinequa (ChapsVision)

Sinequa is a deep retrieval platform with 200+ connectors and hybrid search across vector, keyword, graph, and structured data, now repositioned around “Enterprise Agentic AI.” Its flagship public reference is the Siemens Industry Online Support portal, which serves customers, partners, and employees across a very large technical content corpus.

Best forVery large, document-dense technical estates in regulated or engineering-heavy industries.
Governance and securityThe most rigorously documented security model in this group. Early-binding permissions inherited from source systems, role-based and content-based access control, and an explicit statement that security features are applied before, during, and after each query. Notably, auto-suggest and typeahead are also permission-filtered, which closes a leakage vector most competitors do not mention publicly. Certifications: SOC 2 Type II, ISO 27001, HIPAA with a Business Associate Agreement available, GDPR, CCPA. No ISO 42001 and no FedRAMP.
PricingNot published, and no credible third-party benchmark exists. The least cost-transparent platform in this guide.
TractionAcquired by French group ChapsVision in November 2024 alongside a $90M funding round. Named a Leader in QKS Group’s 2025 SPARK Matrix for Enterprise AI Search, which is a smaller analyst house than Gartner or Forrester.
LimitationsBrand consolidation is visible: 2026 press releases go out under ChapsVision, and the forward-looking agent product is ChapsAgents rather than Sinequa. Gartner Peer Insights shows zero reviews in the Enterprise AI Search market, and there is no meaningful G2 presence, so buyers have almost no peer signal to triangulate against. The homepage claim about eliminating hallucinations is marketing language. No grounding system eliminates hallucination. It reduces it.
Not forBuyers who need peer validation before signing, or who need FedRAMP.

Lucidworks

Built on Apache Solr and Lucene heritage and wrapped in AI tooling, Lucidworks combines neural hybrid search with no-code Studios for commerce, analytics, agents, and UI. Enterprise knowledge search is a secondary line.

Best forEcommerce and product discovery, where search is tied directly to revenue.
Governance and securityFine-grained access controls at document and field level, role-based access control, SAML SSO. Its trust center publishes the freshest audit evidence in this guide: a SOC 2 Type 2 report issued June 4, 2026, plus ISO/IEC 27001:2022 with a published Statement of Applicability. No ISO 42001, no HIPAA, no FedRAMP, which is the narrowest certification set among the enterprise search platforms here.
PricingNot published. Third-party estimates circulate but none are vendor-confirmed.
TractionAnnounced a co-CEO structure on August 3, 2026, with Reade Frank and Guy Sperry taking over after Mike Sinoway stepped down. Most third-party sources have not caught up to this yet. Named a Leader in the Everest Group Enterprise Search Products PEAK Matrix 2026, a tier shared with other vendors.
LimitationsG2 shows 4.5 from only 12 reviews, which is too small a sample to compare against vendors with hundreds. Last disclosed funding was a 2019 Series F, so current financial position is not publicly verifiable. A CEO departure plus a move to co-CEOs is a governance event worth asking about, and it is too new to assess.
Worth reading anywayLucidworks publishes the sharpest critique of its own category. Its 2026 AI Benchmark Study found 70 percent of top executives reporting significant AI benefits against 25 percent of frontline employees, and 84 percent of organizations claiming measurable benefits while only 1 percent demonstrate advanced operationalization. It is vendor-sponsored research, and it cuts against category hype rather than for it.
Not forInternal-only knowledge deployments where commerce relevance is irrelevant.

Which AI knowledge management platforms are worth evaluating?

These platforms curate one library, keep it accurate, and answer from it. The strength is content quality. The boundary is that they govern the library, not the answer.

Bloomfire

Bloomfire centralizes and certifies content, indexes media deeply, and layers on Synapse, its conversational AI, which constrains answers to verified library content and attributes sources. Its 2026 positioning is “Enterprise Intelligence.” Founded in 2010, it is one of the longest-running platforms in the category.

Best forInternal knowledge sharing where documents, video, and audio all need to be searchable.
Governance and securitySOC 2 Type II, HIPAA support, GDPR tooling. Worth knowing: Bloomfire previously held ISO 27001 and consolidated to SOC 2 only in 2022, per its own security page. Permissions are group-based and managed inside Bloomfire rather than mirrored from source systems, which means more administrative overhead and weaker permission fidelity to your source of truth. Its activity auditing is the most explicitly documented in this group: views, downloads, search history, login history.
PricingNot published. Three scope-based tiers, Team, Department, and Enterprise, sold as annual fixed cost by scope with separate implementation and data-migration fees stated on the pricing page.
TractionG2 rating of 4.6 from 513 reviews. Named CIOReview’s AI-Powered Knowledge Management Software Company of the Year for a third consecutive year in May 2026. That is a trade publication editorial award, not analyst research, and it should not be read as equivalent to a Gartner or Forrester evaluation. Last disclosed funding is a 2021 growth investment from Primus Capital.
LimitationsG2 reviewers cite search that handles typos and unexpected phrasing poorly, limited filtering and layout customization, and analytics described as limited and dated. That last point sits in tension with the audit-logging strength: the logs exist, the analysis layer is thin.
Not forRegulated workflows where compliance has to be enforced at the moment the answer is delivered.

How AnswerMyQ compares to Bloomfire

Guru

Guru’s differentiated capability is verification: cards with owners, expiry dates, automated re-verification, and revertible verification runs, delivered through a browser extension, Slack, and Teams rather than a destination site. Its 2026 positioning is “The Governed Knowledge Layer for Enterprise AI,” with a model of governing knowledge once so other AI tools can consume it safely.

Best forKeeping an internal knowledge library verified, current, and delivered inside the tools people already use.
Governance and securitySOC 2 Type II, PCI SAQ A-EP, GDPR with standard contractual clauses, Data Privacy Framework, Google CASA, Microsoft 365 App Compliance. A HIPAA Business Associate Agreement is available, but HIPAA certification is not claimed. No ISO 27001 and no ISO 42001 listed, which will fail some procurement checklists. Its strongest architectural control is upstream: regex-based DLP masking that redacts PII, PHI, and financial data before indexing, paired with zero data retention by third-party models.
PricingNo longer published, and there is no free plan. Vendr reports a median annual contract value of $37,800 across 122 deals, last updated February 2026. That is negotiation-platform data, not vendor pricing.
TractionG2 rating of 4.7 from 2,322 reviews, by far the deepest review base in this guide. Partnership with Boomi announced May 2026, extending Knowledge Agents across a large connector set. No 2025 or 2026 funding round or Gartner or Forrester placement found.
LimitationsG2 reviewers report search that slows and degrades as content volume grows, poor synonym and general-query handling, and a card format that fits complex long-form documentation badly. On the positioning: governing the content library is real work and Guru does it well, but it is upstream of the answer. Governance that ends at the library ends before the moment that actually creates risk.
Not forOrganizations that need to serve customers, partners, or franchisees. Guru’s own community documentation states the product is not designed to publish a knowledge base externally.

How AnswerMyQ compares to Guru

What about the AI assistants already inside your stack?

These live inside an existing stack. Adoption is easy because there is no new tool to learn. The tradeoff is that the boundary of the stack is the boundary of the platform.

Microsoft 365 Copilot

Copilot drafts, summarizes, and answers questions grounded in tenant data across Word, Excel, PowerPoint, Outlook, and Teams, with Copilot Studio for custom agents. It is not a standalone knowledge platform, and its value scales with how much of your knowledge already lives in Microsoft 365.

Best forOrganizations already standardized on Microsoft 365 that want AI inside the apps employees use every day.
Governance and securityInherits Microsoft 365 and Graph permissions. Microsoft’s own architecture documentation states access controls are enforced during both grounding and generation, which puts policy ahead of the response. Sensitivity labels are enforced, generated content inherits the highest-priority label from its sources, and Purview captures audit records of prompts, responses, and referenced content with eDiscovery support. The compliance tooling here is more mature than most AI assistants offer.
PricingThe only platform in this guide with published enterprise per-seat pricing: $30.00 per user per month paid yearly, on top of a qualifying Microsoft 365 license. Copilot Business for smaller organizations was reduced from $21 to $18 per user per month. At $30 a seat, a 5,000-person deployment is $1.8M a year before base licenses.
TractionMicrosoft stated 30 million-plus paid Copilot seats in its quarter ended June 30, 2026, with customers at 50,000-plus seats growing more than sevenfold year over year.
LimitationsG2 rating of 4.2 from 74 reviews, the lowest in this guide, with reviewers citing inconsistent accuracy and fabrication on complex data. The bigger issue is one Microsoft publishes guidance on itself: oversharing. Copilot faithfully honors existing permissions, which means years of over-permissive SharePoint sharing suddenly become discoverable at conversational speed. Remediation is additional work and often additional licensing. Value also drops sharply for knowledge living outside Microsoft 365.
Not forMulti-audience deployments. There is no customer or partner-facing mode. Access is licensed per employee and scoped to the tenant.

How AnswerMyQ compares to Microsoft Copilot

Moveworks (ServiceNow)

Moveworks sits in Slack, Teams, web, and mobile and takes action: reset a password, file a ticket, request time off. It is an action platform first and a search product second, which is a real distinction and the reason it deflects tickets rather than just answering about them.

Best forResolving internal IT and HR requests end to end rather than returning a help article.
Governance and securityThe strongest independently verifiable compliance stack in this guide. FedRAMP Moderate Authorized since January 30, 2026, confirmable on the FedRAMP Marketplace rather than on a vendor page. Also ISO/IEC 42001, ISO 27001, 27017, 27018, 27701, SOC 2 Type 2, CSA STAR Level 2. One caution: HIPAA appears on the homepage badges but not on the dedicated security page, so ask for the BAA directly. The permissions model, audit-trail design, and whether policy applies before or after generation are not documented publicly. Put all three on your diligence list.
PricingNot published. Vendr reports a median of $130,000 a year across 31 anonymized transactions as of February 2026, on a small sample.
TractionServiceNow completed its $2.85B acquisition on December 15, 2025, nine months after announcement. In February 2026 ServiceNow launched EmployeeWorks, merging Moveworks chat and search with ServiceNow portal and workflows, while stating Moveworks continues as a standalone product. G2 rating of 4.4 from 126 reviews.
LimitationsImplementation effort is the dominant complaint on G2, with reviewers citing complex integration and significant customization time. Integration quality outside ServiceNow is uneven, and post-acquisition that asymmetry is more likely to widen than narrow. If you are not standardizing on ServiceNow, the long-term standalone question is a fair one to put to the vendor in writing.
Not forExternal audiences. Moveworks is internal-employee only.

How AnswerMyQ compares to Moveworks

Which platforms actually govern the answer, not just the library?

These enforce policy and role before an answer is generated. The evaluation question is not “can it find the document.” It is “can it prove which answer went to which person, under which rule, and what happened next.”

Squirro

Squirro combines semantic search, knowledge graphs, and taxonomy and ontology management from its Synaptica acquisition with a privacy layer and a catalog of pre-built department agents. Its core promise is “Connect Once, Govern Once, Reuse Everywhere.” Named customers include the European Central Bank, Deutsche Bundesbank, Bank of England, and Standard Chartered.

Best forRegulated financial services and public sector deployments that require on-premises or air-gapped operation.
Governance and securityACL-based access control integrated with the login authority, attribute-based access control, and ACL-aware retrieval so generation only returns data the user is authorized to access. PII is scanned at ingestion and masked with reversible tokens that never reach the language model, which is a stronger data-minimization design than post-hoc filtering. Immutable audit logs. Full on-premises and air-gapped deployment, marketed for defense networks. ISO 27001 and GDPR.
PricingNot published.
TractionNamed a Representative Vendor in the Gartner Market Guide for Enterprise AI Search, and a Recognized Vendor in Gartner’s Market Guide for Generative AI Platforms in Banking and Investment Services. Launched a 13-agent catalog in July 2026. New CEO, David Clarke, appointed March 2026.
LimitationsSOC 2 Type I only. Type II was still in progress as of the company’s own June 2026 blog post, and its CISO said publicly that Type I does not yet show how controls perform over time. For many US enterprise procurement teams that is a blocker rather than a caveat. Independent review evidence is very thin: 10 G2 reviews, 2 Capterra reviews, zero Gartner Peer Insights reviews in Enterprise AI Search. Squirro is also internal-employee focused, and its on-premises documentation does not name which models it supports, which matters for air-gapped buyers.
Not forMulti-audience deployments, or buyers who require SOC 2 Type II today.

AnswerMyQ

Full disclosure again: this is our platform. Here is the case and the caveats.

AnswerMyQ is a Governed AI Knowledge Platform for the Enterprise. Policy is enforced before the response is generated rather than filtered after. Answers are source-cited and role-aware, so the same question from a franchisee, a corporate trainer, and a customer produces three correct and different answers. Every interaction can end with a defined next step: schedule the service, order the part, escalate the claim, trigger the workflow, log the disclosure. It is powered by the Adaptive Intelligence System™, a proprietary capability that continuously adapts to each organization’s content, audiences, and workflows.

Best forRegulated, multi-audience organizations that need the same governed answer layer to serve employees, customers, partners, franchisees, and field teams.
Governance and securityAnswers are grounded exclusively in client-approved content, with no public internet data and no customer data used to train external models. Every question, answer, role, and outcome is logged for audit. The platform runs on Google Cloud Platform in a HIPAA-eligible environment, and SOC 2 certification is expected in early September 2026. Business Associate Agreements are available for healthcare deployments, and the platform is built for HIPAA-appropriate language and CMS marketing rules in Medicare Advantage workflows. Deployments run in the automotive aftermarket, franchise systems, and senior living. See Data Security for the current architecture and controls.
PricingNot published. AnswerMyQ is a concierge deployment rather than an off-the-shelf subscription, scoped to the audiences served, the policies enforced, the systems connected, and the outcomes delivered. That is a deliberate choice, and it is also a real tradeoff: you cannot swipe a card and start a trial this afternoon.
Where it fits the five questionsAnswerMyQ answers yes to all five by architecture. That is a claim about design, and the right way to test it is to make us prove it live: switch roles mid-demo, ask for a governed decline, and ask to see the audit record of what was answered, to whom, and what action followed.
Limitations, stated plainlyAnswerMyQ was founded in 2024, which makes it the youngest platform in this guide. Its public review footprint is a single G2 review, so you cannot triangulate peer experience the way you can with Guru’s 2,322. Ask us for references instead, and hold us to the same standard as everyone else on this list. It does not publish pricing. The concierge model means implementation is a scoped engagement, not a self-service signup, and that is the wrong shape for a team that wants to pilot something next week without involving procurement. If your use case is internal-only knowledge sharing for a single team, several platforms above will serve you faster and cheaper.
Not forSmall internal-only deployments, self-service buyers, or teams that need a free trial before a conversation.

See the platform overview, how the outcomes work in practice, or the full comparison hub.

When should you build your own enterprise AI knowledge base?

These are components, not products. They are the right answer when you have an engineering team and a requirement no packaged platform meets.

K2view

K2view’s entity-based Micro-Database architecture assembles a per-customer or per-order dataset on demand from ERP, CRM, HCM, and mainframe systems, then exposes it as governed context to AI. Most retrieval platforms handle documents well and structured operational data poorly. This is the inverse.

Best forGrounding AI in live, structured operational data rather than documents.
Governance and securityRetrieval checks against access policies down to individual users, entities, and attributes, with governance enforced in flight and dynamic masking by role. ISO/IEC 27001:2022, 27017, 27018, 27701, SOC 2 Type 2, FIPS 140-2. HIPAA, PCI, and FIPS are listed as paid enterprise add-ons.
PricingPublished and itemized, which is rare here: consumption-based, with production environments from $8,000 a month and development environments from $100 a month, unlimited users.
Traction$15M growth capital from Trinity Capital in June 2025. Named a Visionary in the 2025 Gartner Magic Quadrant for Data Integration Tools, its third consecutive placement. Gartner Peer Insights rating of 4.7 from 120 ratings.
LimitationsIt is not an enterprise knowledge or search product and does not appear in enterprise search roundups. Calling it a knowledge base platform overstates what it is. The $8,000 monthly production floor makes it a large-enterprise purchase, and the public security page documents certifications without documenting RBAC or audit-log design.
Not forAnyone who wants a working answer experience out of the box.

LlamaCloud (LlamaIndex)

LlamaCloud parses, extracts, classifies, chunks, and embeds documents, with the open-source LlamaIndex framework and Workflows for orchestration. As of 2026 the homepage leads with document OCR for the agentic stack, not knowledge management, and that self-positioning is accurate.

Best forDeveloper teams building their own document pipelines, especially against messy PDFs, tables, and charts.
Governance and securitySOC 2 Type II, GDPR, HIPAA. Cached data is retained 48 hours before deletion, and caching can be disabled. VPC and self-hosted deployment on Enterprise plans, with enterprise SSO. The important gap: LlamaCloud does not enforce source-system access control lists at query time. Permission enforcement is the implementing developer’s responsibility, and no ACL-aware retrieval layer is publicly documented.
PricingPublished and granular: free tier, $50 a month, $500 a month, or custom, with per-page and per-query credit rates.
Traction$19M Series A led by Norwest in March 2025, followed by strategic minority investments from Databricks and KPMG in May 2025.
LimitationsNo employee-facing interface, no org-wide connector index, no ACL-aware retrieval. Zero G2 reviews. Citations and confidence scores in extraction are opt-in and in beta, and LlamaIndex’s own documentation warns that enabling them slows processing considerably.
Not forAny buyer who does not have engineers to build on top of it.

What other platforms will you see on shortlists?

Three platforms appear in nearly every credible 2026 enterprise search roundup and are not covered in depth here because they sit slightly outside the enterprise AI knowledge base frame:

  • Elastic is the most battle-tested retrieval engine in the market, with engine-enforced document-level and field-level security, the deepest certification stack anywhere in this space including FedRAMP High and PCI DSS Level 1, published pricing from $99 a month, and audited public financials. Its Agent Builder reached general availability in January 2026. It is a toolkit rather than a turnkey knowledge assistant, and the headline AI feature is gated to the Enterprise tier.
  • Algolia and Google Vertex AI Search show up repeatedly in the same roundups, weighted toward site and product search and toward Google Cloud-native builds respectively.
  • IBM watsonx Discovery appears in enterprise shortlists, often alongside IBM’s separate model-governance tooling. Be careful not to conflate the two.

One warning about the roundups themselves. Nearly every “best enterprise search software 2026” article currently ranking is published by a vendor in the category, and nearly all of them rank themselves first or second. That includes several of the platforms named in this guide. Check the byline before you trust the order. It is the reason this guide is not ranked and leads with a disclosure.

What do review counts actually tell you in this category?

Before the table, a caution about one of its columns.

Review volume in enterprise AI knowledge platforms tracks how a vendor sells, not how well it works. It correlates with company age and with whether there is a self-serve motion that puts the product in front of thousands of small teams. It does not correlate with fitness for a large, regulated, multi-audience deployment.

The evidence for that is in this guide. Guru has 2,322 G2 reviews, and it is a 2013-era product with a self-serve motion and a very large base of small internal teams. Coveo has 142, and it is the only true Gartner Magic Quadrant Leader here, with its first customer relationship above $10M in annual recurring revenue. Sinequa has zero Gartner Peer Insights reviews in its own market and runs Siemens’ support portal across more than 20 million pieces of technical content. Squirro has 10 G2 reviews and counts the European Central Bank, Deutsche Bundesbank, and the Bank of England as customers. LlamaCloud has no G2 reviews and took strategic investment from Databricks and KPMG. eGain has no reviews on Capterra, PeerSpot, or GetApp and was named a Leader in Gartner’s inaugural Magic Quadrant for Customer Service Knowledge Management Systems.

Five of the twelve platforms in this guide have effectively no practitioner review footprint, AnswerMyQ among them. Several of the others are running the largest and most regulated deployments in the category.

Read the column below as a measure of how visible a vendor is to buyers who research through review sites, which is useful information on its own terms. Do not read it as a quality score, and be skeptical of any roundup that ranks on it.

Certification lists reflect what each vendor publishes on its own security or trust page as of August 7, 2026. Absence from this table means we could not verify it from a primary source, not that it does not exist. Confirm anything that matters to your procurement team directly with the vendor.

How do you choose the right platform?

The shortest path through this is to answer three questions before you look at a single demo.

Who needs answers? If the answer is “our employees,” you have ten viable options and the decision comes down to where your content lives and how much engineering you want to do. If the answer includes customers, dealers, franchisees, brokers, or field contractors, most of this list drops away immediately. Glean, Guru, Microsoft 365 Copilot, and Moveworks are internal-employee platforms by design, not by accident.

What happens after the answer? If someone reads the answer and does the work, retrieval is enough. If the interaction needs to end in a scheduled appointment, an ordered part, an escalated claim, or a logged disclosure, you are shopping for an action layer and most search platforms will hand that back to you as an integration project.

What has to be provable? In regulated industries the question is rarely “was the answer accurate.” It is “can you show me which answer went to which person, in which role, under which policy, and what happened next.” That is an architecture requirement, not a reporting feature, and it is the fastest way to sort this list.

Two practical notes. First, ask every vendor for its pricing model in writing before the demo, because three of the twelve platforms here bill on consumption, and cost predictability is the most common post-purchase complaint across all of them.

Second, do not shop on review counts. As the section above lays out, review volume in this category measures go-to-market motion and company age, not fit. A 4.5 built on 12 reviews and a 4.7 built on 2,322 are not the same number, and neither one tells you whether a platform works for a distributed dealer network under CMS marketing rules. The question that does tell you is this one: ask every vendor on your shortlist for three references in your industry, at your scale, with your compliance profile. A vendor with 2,000 reviews and no reference resembling you is a worse signal than a vendor with none who can put you on the phone with two.

For a broader framework on the compliance side, the NIST AI Risk Management Framework is a useful, vendor-neutral structure for organizing what your organization actually needs to govern.

Where to start

If you got this far you are probably building a shortlist. Two suggestions, neither of which requires talking to us.

Run the five questions against whatever you are using today, before you evaluate anything new. Most teams find the gap is not the platform, it is that nobody ever asked who the answer was governed for.

Then ask every vendor on your list, including AnswerMyQ, for three references in your industry at your compliance profile. If a vendor cannot produce them, that tells you more than any review score on this page.

If a governed answer layer across employees, customers, partners, and field teams is the problem you are actually solving, schedule a demo and ask us to switch roles mid-session. That is the part most demos skip.

Frequently asked questions about enterprise AI knowledge base platforms

What is the best enterprise AI knowledge base platform?

There is no single best platform, because the products commonly grouped under that label solve different problems. Glean and Coveo are strongest at search across many systems. Guru and Bloomfire are strongest at keeping a curated library accurate. Microsoft 365 Copilot is strongest inside a Microsoft-standardized environment. AnswerMyQ and Squirro are built to enforce policy before an answer is generated. Match the platform to the job before comparing feature grids.

What is the difference between enterprise search and a governed AI knowledge platform?

Enterprise search helps people find information. A governed AI knowledge platform determines what each person is permitted to receive, shapes the answer to their role before it is generated, cites the approved source, and drives the next action. Traditional enterprise search falls short in regulated environments because retrieval alone cannot prove which answer went to which person under which policy. See Enterprise AI Search vs AnswerMyQ.

Which enterprise AI knowledge platforms publish their pricing?

Three of the twelve platforms in this guide publish prices. Microsoft 365 Copilot lists $30 per user per month paid yearly for the enterprise add-on. K2view publishes itemized consumption pricing with production environments from $8,000 a month. LlamaCloud publishes tiered plans starting free. The other nine are sales-quoted. For those, third-party contract data from platforms like Vendr is indicative, not authoritative.

Which platforms can serve customers and partners, not just employees?

Coveo, Lucidworks, and Sinequa support external audiences, primarily through search and commerce experiences. Bloomfire supports some external use. AnswerMyQ is built to deliver governed, role-aware answers across employees, customers, partners, franchisees, distributors, and field teams from one platform. Glean, Guru, Microsoft 365 Copilot, and Moveworks are internal-employee platforms.

Are these platforms AI chatbots?

No, and the distinction matters more than the label suggests. A chatbot generates a response. The platforms in this guide are designed to ground that response in enterprise content. What governed AI does that AI chatbots cannot is enforce policy and role before the response exists, cite the approved source, and end the interaction with a compliant next step. Read more in the FAQ.

How often should this shortlist be revisited?

Quarterly. In the six months before this guide was published, one platform in it closed a $2.85B acquisition, one changed CEOs, one changed to a co-CEO structure, one dropped published pricing, and one added a FedRAMP authorization. Anything you evaluated a year ago has moved.
